Starting a new job can sometimes feel like diving into murky water with no real sense of what is happening underneath. When I joined Southeast Missouri State University and learned they were using AI in their content creation process, I was intrigued but admittedly hesitant. My experience with AI was limited to exploratory prompts when it first launched and, later, quick proofreading when I was juggling too many tasks.
Now, AI is a regular part of my day. At SEMO, our Marketing and Communications team developed a custom GPT tailored to our brand voice. This tool ensures every piece we produce stays on-brand, which was invaluable as I learned and adapted to the university’s style. My supervisor probably appreciated it too—just imagine how much time it saved her from having to proof and edit my early work!
Contrary to what some might think when they hear about AI in the workplace, it’s not doing the job for me. It’s important to me to draft my email first in our email program and edit it until I’m satisfied. Next, I use our branded GPT to review for readability, flow, and audience relatability. After that, I compare its suggestions with those from another favorite tool, MailedIt Email Companion GPT. Based on the book of the same name by Dayana Kibilds and Ashley Budd, this tool focuses specifically on email best practices.
MailedItGPT is a game-changer. Not only does it suggest changes, but it explains the reasoning behind each. This feedback has helped me identify my old bad habits and is making me a stronger content writer. Comparing drafts to see what was changed and why has helped me internalize what works, so, ideally, I’ll actually rely less on AI over time.
Pro tip: If you manage multiple GPTs, you can "tag" them using the "@" symbol in your chat (e.g., "@MailedIt Email Companion"). This lets you pull in specialized AI to analyze the same content from different angles, providing diverse perspectives without changing your chat window.
